Getting Started
How long does setup take?
Most companies are adding their first band and show within minutes β no onboarding call required. We recommend spending time preparing each band's administration first so the booking process is smooth β their specific contract requirements, technical info, and hospitality riders are a good place to start.
Can I import my existing contacts or venues?
Contacts: yes, via CSV import.
Do I need technical knowledge to use it?
No. It's built for music business owners and managers, not developers.
Pricing & Plans
Which modules come with which plan?
Booking (shows, contracts, invoices, settlements, EPKs, Band Space) is in every plan, including Free. Marketing (social publishing, email campaigns, fan lists), Logistics, Label Services, Merch (100 sales a month) and Ticketing (100 tickets per show) come with Pro. More merch sales or tickets are add-on packs.
Is there really a free plan, or is it a trial?
Free is permanent β not a trial, no countdown clock, no credit card required to sign up. You can run your company on it indefinitely; you only pay when you need more bands and shows than it covers, or when you want the Marketing module, email sending, AI features or extra team seats.
What's the difference between Free, Starter, and Pro?
Free (β¬0): 1 band, up to 10 shows, up to 10 contacts, and 10 of your own venues. Full contracts, invoices, settlements, EPK builder and Band Space. One seat. No Marketing module, so no email sending, and no AI features or shared venue catalogue. Starter (β¬24.99/mo or β¬269.99/yr) is the booking plan: unlimited bands, shows and contacts, the full venue catalogue, and AI features on your own Anthropic API key, with daily and monthly limits you set. One seat, extra seats β¬10/mo each. Contracts carry a small "Digitainment" footer. Starter has no Marketing, Logistics, Label Services or Merch module. Pro (β¬59.99/mo or β¬647.99/yr) runs the whole act: everything in Starter, plus the Marketing module with Mailchimp integration and 500 emails a month (100 a day), 2 seats β your admin login plus 1 bonus seat β the Digitainment footer removed from contracts and emails, and the Logistics, Label Services and Merch modules at no extra charge, with 100 merch sales a month. Social slots, a custom sending domain (β¬20/mo or β¬216/yr) and extra merch packs are Pro add-ons; once verified, the domain raises the cap to 5,000 emails a month and removes the daily cap.
Do I need a credit card to sign up?
No. Card only gets asked for when you upgrade to Starter or Pro.
Can I cancel anytime?
Yes. Cancelling keeps your access until the end of the period you've already paid for β no immediate cutoff, no penalty. You drop back to Free, not to nothing.
What do add-ons cost?
Logistics, Label Services, Merch and Ticketing come with Pro and have no separate price. Add-ons: additional team seat β¬10/mo or β¬108/yr (Starter and Pro); social slot β¬10/mo or β¬108/yr (Pro); custom sending domain β¬20/mo or β¬216/yr (Pro), which once verified raises the email cap to 5,000/month and removes the daily cap; extra merch pack β¬34.99/mo or β¬377.99/yr (Pro), 1,000 more merch sales a month each; extra ticket pack β¬34.99/mo or β¬377.99/yr (Pro), 1,000 more tickets per show each. Each is billed and cancelled independently - cancelling one seat, slot or pack never affects the rest of your plan.
Billing & Payments
How does the Stripe integration work?
Stripe does two jobs. First, it collects payment for Digitainment itself: your plan, any modules you buy on their own, extra team seats or social slots, and the custom sending domain add-on are billed through Stripe Checkout, so card details go straight to Stripe and never touch our servers. From the billing page you can change card, switch between monthly and yearly, add or remove modules and add-ons, and cancel - changes take effect at the end of the period you have already paid for, and your receipts come from Stripe. Second, you connect your own Stripe account from Merch Settings, and that is the account your fans' card payments go into. Those are two separate flows: money from your customers lands in your Stripe account, not ours, and we take no commission on it. Your online shop accepts card and PayPal, and at the merch table you can take card on a Stripe card reader you pair in Settings, or charge in the Stripe app on your phone and log the sale here.
How does add-on billing work?
Each seat, social slot, module or domain add-on is its own subscription - you can add or cancel any one of them independently without touching the rest of your plan. Cancelling a module ends it at the end of the period you have already paid for, and your data stays put in case you come back.
What happens if I add a team seat mid-cycle?
It's billed immediately and prorated by Stripe; the seat is available right away.
Team & access
Can I give a team member access to only some bands?
Yes. When you invite someone, or later on the Team page, you can restrict them to specific bands. Leave the band list empty and they see all of them. Anything belonging to a band they were not given stays out of their reach.
What can a team member who is not an admin do?
Admins can do everything. Everyone else gets permissions per area: Booking, Marketing, Merch, Logistics, Label and Settings each have their own view, manage and delete rights, and you can start from a preset (Full access, Full admin or Custom). Manage includes view and delete includes both, so you never tick three boxes for one thing.
If I remove someone from my team, does their seat stop billing?
Not automatically. A seat is its own subscription, so after removing the person, cancel the seat on the Billing page. It ends at the end of the period you have already paid for.
Do pending invitations use up a seat?
Yes. An invitation holds a seat until it is accepted or revoked, and invitations expire after 7 days. If you hit your seat limit, revoke the invitations nobody is going to use. Free and Starter include 1 seat, Pro includes 2, and extra seats are an add-on.
Your account
How long do I stay signed in, and how do I sign out other devices?
A session lasts 10 days and is extended every time you use the app. You can be signed in on up to 4 devices at once; a fifth login is refused and tells you why. End any session from your profile menu. Resetting your password signs out every device.
Is there two-factor login?
Yes, and it is optional. Under Profile you can turn on two-step verification with any authenticator app, such as Google Authenticator, Microsoft Authenticator, 1Password or Authy. After your password you enter the 6-digit code the app shows. You also get 10 one-time backup codes in case you lose your phone. Turning it off needs your password and a code, and we email you if it is ever turned off or reset. If you lose both your phone and your backup codes, contact us and we can reset it once we are sure it is you.
What does two-step verification cover, and what does it not?
It protects the team logins to your company's Digitainment account: everyone who signs in on the login page. Band Space logins and the public links you send to promoters and travel agents (show pages, contracts, invoices) do not use it; those have their own passwords, codes and the switches that turn a link off. Each person turns it on for themselves, so it is worth asking everyone on your team to do so.
Which languages and currencies does it support?
Eight languages: English, German, French, Spanish, Italian, Danish, Dutch and Swedish. Your company has a default language and each person can choose their own in their profile. Shows and invoices can use 42 currencies and merch supports 9. Digitainment's own subscription is billed in euros.
Is there a mobile app?
There is no native app in an app store. Digitainment works in your phone's browser and can be added to your home screen so it opens like an app. The next question has the steps.
How do I add Digitainment to my phone's home screen?
On iPhone or iPad, open Digitainment in Safari, tap the Share button, choose Add to Home Screen and tap Add. On Android, open it in Chrome, tap the three-dot menu and choose Install app (or Add to Home screen). On a computer, Chrome and Edge show an install icon at the right end of the address bar. Once added it gets its own icon (your company logo if your plan allows it, otherwise the Digitainment logo), opens full screen without the browser bars and starts on your dashboard. It is still the website underneath, so it needs an internet connection: there is no offline mode and no push notifications. On iPhone the home-screen app can ask you to sign in again, and that counts as one of your 4 devices.
Can I delete my account or export all my data?
There is no self-service button for either yet, so contact us and we will deal with it. Some exports exist already: venues as CSV, and finance and merch accounting to Excel. Accounts that nobody has logged into for 12 months are deleted, with a warning email at 11 months.
Your company website
What is the company website?
A public mini-website for your company at digitainment.io/site/your-company, switched on in Dashboard > Settings > Website. You tick the sections you want: about, social links, your bands, gig guide, releases, merch, contact form, booking enquiry and imprint. It is off by default, and a section that is off is never loaded, so nothing leaks onto the page.
Why is a section missing from my website?
A few need something first. Releases needs Label Services, Merch needs Pro, and the contact and booking forms need a Company Email. Only bands with a public page address appear in the roster and gig guide. A page with nothing to show is a 'not found' rather than an empty page.
Where do website enquiries go?
To your Company Email, with the visitor set as Reply-To so you can answer straight from your inbox. A booking enquiry also leaves a note on that date in your calendar, visible to your company only and never to the band. Use Send test email in Settings > Website to check delivery. Each visitor is limited to 5 enquiries an hour.
Can I send visitors an automatic reply?
Yes, it is optional and off by default. Write one text each for general, booking and press enquiries in Settings > Website > Automatic replies. You can use the placeholders {name}, {company}, {artist} and, for booking replies, {termsLink} to include your band's private booking terms link.
Can I put the booking form on my own website?
Yes. The booking enquiry embed works even while your company website is unpublished: tick the booking embed option in Settings > Website and copy the code. Each band also has its own booking embed in the embed menu of its EPK.
Security & Data
Is my company's data isolated from other companies on the platform?
Yes. Every company's data is strictly scoped β one company can never see another's shows, contacts, or financials.
Where is data hosted?
On servers in Germany, run by Hetzner Online GmbH, a German hosting company named as our hosting provider in our privacy policy. Hetzner's data centres in Germany are certified to ISO/IEC 27001, the international standard for information security management, which covers how the data centres and the services in them are run. Because the provider is a German company on EU soil, the servers holding your data sit in the EU under EU law. A few services we use for specific jobs, such as payments and email sending, are listed in our privacy policy.
How do you protect my data on top of the hosting?
Hosting is the building; the rest is our own work. All traffic uses HTTPS, and browsers are told to insist on it. Passwords are stored only as bcrypt hashes, so nobody can read them, us included. Your login cookie cannot be read by scripts on the page and is only sent over HTTPS. Passport numbers and other ID numbers are encrypted at rest (AES-256-GCM) and only shown after you re-enter your password. Every team login can add two-step verification with an authenticator app. Card details go straight to Stripe and never touch our servers, and every company's data is strictly kept apart from every other's. If you ever spot a problem, please tell us through the contact page.
What happens to my data if I cancel?
We keep your data safe for up to 1 year while inactive. Simply log in again to prevent deletion.
Tax & regional settings
Is Digitainment only for European companies?
No. We're a European company, hosted in Germany, and European companies are who we build for first β that's where our own booking experience comes from and where most of our customers are. But nothing in the product is hard-wired to Europe. Set your company's country and everything regional follows from it: whether you charge VAT or US sales tax, and how that tax behaves β VAT comes out of the shelf price, US sales tax goes on top at the till. Invoices, contracts and merch relabel themselves accordingly, down to "VAT number" becoming "EIN / Tax ID". The rest is yours to set independently: over 40 currencies including the dollar, euro, pound, and the Nordic krone and krona; dates as Oct 31, 2026 or 31 Oct 2026; a 12- or 24-hour clock; distances in miles or kilometres; and PDFs in US Letter or A4, which matters more than it sounds β A4 prints clipped on most US printers. Each of those follows your country by default and can be overridden on its own, so a US company touring Europe can keep Letter riders while switching distances to kilometres. Two honest limits. We don't look up US sales tax rates for you β you enter the rate you charge, and registration and filing stay with you and your accountant. And your data is hosted in the EU wherever you're based, which some companies outside Europe will want to check against their own requirements.
Do you handle US sales tax, or only VAT?
Both, and they are treated as genuinely different things rather than one label swapped for another. Set your company's country in Dashboard > Settings and everything follows: a US company sees "Sales Tax" and "EIN / Tax ID" on invoices, contracts and merch instead of "VAT" and "VAT number". The maths changes too, not just the wording. VAT is quoted inclusive, so tax is worked back out of the shelf price. US sales tax is quoted exclusive, so it is added on top at the till: a $25 shirt at 7.75% rings up as $26.94, not $25 with the tax buried inside. Booking fees and artist guarantees are services, which most states do not tax, so US companies start at 0% on the booking side and switch it on per show only if their accountant says to.
Do you work out the right US sales tax rate for me?
No, and we would rather say so plainly than imply otherwise. US sales tax is set by thousands of separate state, county and city jurisdictions and the rates change constantly. You enter the rate you charge, and we apply it consistently and record it. Because sales tax is destination-based, merch rates are set per location, so the rate at each merch table matches where that show actually is. For your online shop we charge your home state's rate on orders shipping to that state and nothing elsewhere, which is the correct position for most companies that are only registered where they are based. Products set to 0% stay exempt everywhere, for states that do not tax clothing.
Does Digitainment register me with states or file my sales tax returns?
No. Digitainment records what you charge and shows it clearly on invoices, receipts and settlements, so your figures are in one place when you or your accountant need them. Registering with a state, tracking when you cross a state's economic nexus threshold, and filing returns remain yours. We are a booking and merch platform, not a tax service, and nothing in the product is tax advice. If you are unsure whether you should be collecting in a particular state, ask your accountant.
