Shows & calendar

What do Pending, Confirmed, Blocked and Cancelled mean?

Pending is an enquiry or a hold: a date you are pencilling in. Confirmed is a done deal. Blocked is a date the band cannot play. Cancelled keeps the record but takes the show out of settlements, finance totals, merch, the calendar feed and availability checks. There is no separate hold object; a hold is simply a Pending show.

What does 'time confirmed' do on a show?

If it is unticked, only the date is stored and the set time is left out of contracts. Tick it once the time is agreed.

How do I block dates?

On the Shows calendar choose + Block Dates, pick one band or all bands, and add an optional reason. Blocking needs the permission to manage bands. + Note adds a free-text note to a date in the same way.

Can bands see their shows in Google or Apple Calendar?

Yes. Each band has a private calendar feed (an ICS link) that you create on the band page and paste into any calendar app. Cancelled shows are left out and Pending shows appear as 'TBC: ...'. Creating a new link makes the old one stop working.

Contracts

What goes into a contract?

Three things: the deal terms, filled in automatically from the show; extra clauses from your preset library; and your master legal text. You edit templates, presets and master text in Documents > Contract Templates, or start from a blank contract.

How do contracts get signed? Does the promoter need an account?

No account needed. On the show, open Contract and choose Save & Generate Link, then send the link to the promoter. Signing is built into Digitainment (drawn or typed) and records the time and IP address; there is no outside e-signature service. Generating the link marks a draft contract as Sent. The email button only opens your own email program with the link in it.

What happens to a contract if I change the show afterwards?

Until someone signs, the contract follows the show's current details. At the first signature the details are frozen into the contract, and once anyone has signed it is locked: it cannot be edited or deleted.

How do I get a PDF of a contract?

Use Download PDF on the contract page. It opens your browser's print dialog, where you choose Save as PDF.

Invoices & settlements

Quote, deposit, balance, full: which invoice do I use?

A quote is an estimate and is not counted in settlement. A deposit invoice bills only the deposit and the balance invoice bills the fee minus that deposit. A full invoice bills everything at once and shows any deposit as a line that is not added to the total. On a percentage deal the fee reads 'to be calculated' until settlement.

What is the difference between agency-collected and direct-pay invoicing?

Agency-collected: you invoice the promoter and collect the money. Direct-pay: the band invoices the promoter and you invoice the band for your commission. Which one you use is a company setting.

How is my commission worked out?

The show's own setting wins, then the band's default, then your company default. It is calculated on gross or net, whichever you chose in settings.

Why can I not edit an invoice any more?

Save and Mark as Sent freezes the bill-to and from details and locks the invoice; from then on you can only void it. Copying the invoice link asks whether to mark it as sent. Paid and Voided are final. To change a sent invoice, void it and create a new one.

Why does my invoice link not work?

Invoice links only work while the show's public page is switched on. Turn it on in the show's Spaces > Public settings.

Can different shows use different currencies?

Yes. Each show has its own currency and nothing is converted. Finance and Statistics total each currency separately instead of mixing them.

When can I settle a show, and can the band enter the figures?

The Settlement panel opens after the show date. You enter attendance, gross and net sales, ticket tiers and notes, and the payout is worked out from the deal. The band can enter figures too through Band Space; you then see 'Last updated by band' so you can review before invoicing. Create Settlement Invoice bills whatever has not been invoiced yet.

How do I track band expenses and the profit on a show?

On the show choose Add expense, or use Finance > Expenses. The show needs a band first. Record who paid (band, a member, your company, the promoter or other), attach a receipt up to 10 MB and tick items as reimbursed. The show's profit and loss is the settlement plus merch, minus expenses and travel; travel with no payer recorded counts as paid by the band.

Venues, contacts & tours

What is the difference between my venues and the shared venue catalogue?

Your venues are your own records. The shared catalogue is a checked database that we maintain, available from Starter, and adding a venue from it copies it into yours. Searching the web with your AI assistant is separate: that is a paid AI action on your own Anthropic key, while catalogue lookups cost nothing.

How do I import contacts from a CSV file?

Use Import on the Contacts page. The columns are Account Name, Username, Account Type, Legal / Business Name, Full Address, City, State / Region, Postcode, Country, Tags, Contact People and Custom Contacts. Rows are matched on Username: a match updates that contact, anything else creates a new one. Rows with neither Account Name nor Username are skipped, and line breaks inside a cell are not supported.

What does tour planning do?

You build a route per band: add city stops, drag them into order and calculate driving distance and time (two stops minimum). For each stop you can see your saved venues within a radius you choose. Stops do not turn into shows automatically.

Sharing & Band Space

What is the public show page?

A link for the promoter, one per show. Switch it on in the show's Spaces > Public settings and choose the sections they see: offer sheet, contracts, invoice, tech, line-up, worksheets, forms, documents and schedule. You can add a password, make it expire after the show date, or press New link to kill the old address. Promoters can upload files (up to 20 MB) and add to the schedule, but never see files the band uploaded.

What is the 5-digit code on the public page?

It keeps personal details such as the line-up, traveller names and passport data locked until the promoter or travel agent enters it. It is on by default. Send it separately from the link.

Can bands see their own show data?

Yes β€” Band Space gives each band a live portal to their own shows, documents, and settlements, without giving them access to the rest of your company's data.

What can a band member see in Band Space?

You decide per member under Bands > Band Access, each with their own username and password. Bookings, Social Marketing and Finance are on by default; Logistics and Expenses are opt-in. Members see show details, deal and due dates, contracts, invoices, line-up, documents and the schedule. They can comment, upload files and enter settlement figures, and you get a notification when they comment.

Can I share a tech rider on its own?

Yes. Each show has a tech-rider-only link, separate from the public show page, alongside the schedule link and the travel agent link. Build riders in Documents > Tech Rider with sections, channel lists and images, and download them as PDF.

EPK & booking terms

What is the EPK and how do I put it on my website?

The EPK is the band's public press kit at digitainment.io/epk/your-band: bio, media, press, published upcoming shows and documents. Embed codes are available for the Gig Guide, the full EPK, Band Home and Booking enquiry, with an optional transparent background. You edit the content under Bands > your band (EPK Media, EPK Press, Online & SoMe).

Why are booking terms a private link?

Terms often hold fees and conditions, so each band gets a private link with a long random token instead of a guessable address. Copy it from the band page. New link makes every link you sent before stop working. Terms can no longer be embedded on other sites.

WhatsApp

Can I message promoters on WhatsApp from Digitainment?

Yes. Any contact whose phone number is stored in international format gets a WhatsApp button, both on the show and on the contact record. Clicking it opens a box holding an opening line already written for you β€” band, city and date β€” which you can edit before WhatsApp opens with that text in its composer. You still press send in WhatsApp yourself.

Can I send a contract or an invoice?

Not as a file attachment β€” the WhatsApp button carries text only. Send a link instead: on the show page, the Contract and Invoice buttons each have a dropdown with a copy button, so the link can be pasted straight into the message. A link is better than an attached PDF anyway: it stays current if the deal changes and it can be switched off later. Invoice links need the public show page switched on.

Why is the WhatsApp button missing on some contacts?

The number has to be stored in international format, with the country code: +49 170 1234567 rather than 0170 1234567. A local number cannot be dialled from another country, and Digitainment will not guess the country code β€” a wrong guess would open a conversation with a stranger. Add the country code to the contact and the button appears.

Where does the conversation actually live?

In WhatsApp, on your own account, exactly as if you had opened WhatsApp yourself. Digitainment does not store, read or send your messages β€” it only opens the right conversation with the show details filled in. That also means the thread does not come back into Digitainment.

Which WhatsApp does the button open?

Whichever one you are signed into on that device: WhatsApp Web, the desktop app, or WhatsApp Business. If you keep work conversations in WhatsApp Business, sign into that one first, and your promoter chats stay alongside the rest of your business chats.

Does the promoter need a Digitainment account?

No. An ordinary WhatsApp message arrives from your number and Digitainment is nowhere to be seen. Nothing is asked of them β€” no app, no login, no link to click.
